皆さんこんにちは。Citrixセールスエンジニアリング本部の片海 健太郎です。今回はCitrix Content Collaborationの機能のひとつであるワークフローについてご紹介をさせていただきます。

Citrix Workspaceは、各工程でワークフローを統合できるという点が特徴的です。承認や重要な通知など、構造化された作業は、Citrix Workspaceに表示され、迅速に対応できます。

これまでに見た主要なユースケースの1つは、オンラインファイルへのセキュアなアクセスを提供し、データ共有を簡素化することによる、契約承認プロセスの高速化でした。これは、Citrix Workspaceエクスペリエンスに直接組み込まれたCitrix RightSignatureとCitrix Content Collaborationの機能を介して行われています。統合デジタルワークスペースの一部として提供されるため、どこからでもドキュメントやデータに接続して、アクセスを制限することなくドキュメントのセキュリティを確保できます。同時に、セキュリティ、管理性、コンプライアンスに関する組織の要件を満たすことができます。

では実際にコラボレーティブワークフローのデジタル化手順を見ていきましょう。

商業建築業のABC社は、新規プロジェクトのために下請業者を採用しようとしています。流動的な部分やファイルのやりとりがたくさんある大仕事です。ABC社従業員のジョーさんは、両当事者による署名が必要な下請契約書を作成しました。ジョーさんがCitrix Workspaceで行った方法は次のとおりです。

ステップ1：法的拘束力のある文書署名で契約を締結する

ジョーさんはCitrix Workspace内で文書を選択し、署名のために送信することを選び、署名プロセスを開始します。

必要な署名者の名前とメールアドレスを追加します。既存のテンプレートを使用することも、数回のクリックで契約書にテキストフィールドを追加することも可能です。その後、事前に保存しておいた自分の署名で契約書にカウンターサイン（副署）します。

契約書を送信する前に、有効期限の追加、パスコードのオプション、署名者の順序付けなどの主要項目をカスタマイズできます。

契約書の準備ができたら、文書をABC社従業員のマイクさんと下請業者に送信します。社内の従業員にはCitrix Workspaceの通知フィードとメールで通知されます。社外の従業員はメールで通知を受け取ります。

ステップ2：ファイルをセキュアに回収する

契約が締結されたら、次はプロジェクトに関連する計画とドキュメントの共有です。ABC社は、最初に下請け業者からいくつかのファイルを入手する必要があります。これには2つの方法 – 面倒な方法とジョーさん方式（別名シトリックス方式！） – があります。では、ワークフローを続けましょう。

ジョーさんはCitrix Workspaceから、下請業者のカスタムブランドの双方向ファイル共有ポータルへのリンクをマイクさんに送信します。

フィードバック、承認、決裁署名が必要な膨大な量のドキュメントは、フラストレーションの元になります。マッキンゼー・グローバル・インスティテュートの調査によると、タスク完了のために内部情報を検索したり同僚を探し出したりするのに費やされる時間は、1週間の労働時間の約20%に上ります。

Citrix Workspace内では、１箇所からドキュメントの保管、電子署名、コラボレーションが行えます。電子署名機能の統合により、Citrix RightSignature（法的拘束力のある業界標準に準拠した署名）とCitrix Content Collaborationを連携させ、エンタープライズグレードのドキュメントセキュリティとワークフローを実現できます。

本稿では、法的拘束力のある電子署名など、ドキュメント承認ワークフローを改善する5つの方法を皆様に共有したいと思います。シトリックスがCitrix Content Collaborationの電子署名機能を使用してリモート採用プロセスをどのように合理化したか、その例を見ていきましょう。今回のユースケースでは、人事マネージャーのリサが採用マネージャーと協力して作業範囲記述書の契約書を作成しています。

1）コラボレーションアプリケーションへのセキュアなアクセス

電子署名はドキュメント承認の最終ステップかもしれませんが、そのプロセスを開始するにはドキュメント自体が必要です。簡単なタスクでも、Microsoft 365への別のログインクレデンシャルを覚えておかなければなりません。Citrix Workspace内では、シングルサインオンによってチームは接続済みです。アイコンをクリックするだけで、Microsoft Wordを起動し、リアルタイムで共同作業を行うことができます。機密データはCitrix Analyticsを介して追跡され、セキュアなブラウザからアクセスされるため、IT管理者も安心です。リサは、OneDrive for Businessへのセキュアな接続により、Citrix Workspaceのユーザーインターフェイス内でファイルを追跡します。次の画像は、Citrix Workspace内で署名を直接共有、編集、または送信するためのオプションを示しています。

2）承認の簡素化

文案の作成が完了したら、上司の承認が必要です。プロジェクトはコラボレーション段階を過ぎているため、リサは完成したドキュメントの決裁署名を求めています。複数のコメントや矛盾する方向性のメールの連鎖を何度経験すればいいのでしょうか。リサは、状況を追跡する必要のあるレビュー中のプロジェクトも複数抱えています。次のスクリーンショットに示すように、リサはCitrix Content Collaborationのフィードバック/承認ワークフローを使用して、ドキュメント内で直接、最終的な承認とコメントを収集します。このフォーマットで起草することにより、関係する項目にコメントを付けることができます。決裁署名はドキュメント上で直接追跡されるので、メールの中に埋もれることはありません。国際的な廃棄物処理リサイクル企業のデジタルワークフローへの切り替え促進の事例にフィードバック/承認機能が果たした役割をご覧ください。…

昨今話題の”PPAP“。今回はその対策として弊社のクラウドストレージであるCitrix Content Collaborationをご紹介させていただきます。

◆ PPAPとは？
昨年末から、“PPAP”というワードが各種メディア上で話題になりました。私自身は「また？いまさら？」と思いました。しかし、PPAPを検索してみると「中央省庁 廃止」「危険」「禁止」といったワードが並んでいる。〇〇太郎が危険？禁止…？

実はこのPPAPは、よくあるメールのやり取りを表した略称でした。皆さんも業務上、下記のようなメールを送った事があるかと思います。

この様な方法で暗号化(Angouka)をし、メールを送る手法(Protocol)のことを、赤字頭文字をとって、PPAPと呼んでいます。

◆PPAPは何が問題なのか
このPPAP、企業間ではスタンダードなやり取りなっており当たり前に使っていますよね。しかし、このPPAPには以下の様なデメリット・問題点があります。この方法でメールを送受信している皆さんも思いたる節があるのではないでしょうか。

１． 別々の送信に意味がない（盗聴リスク）
送ったメールに対して「全員に返信」でパスワードを送付しているケースが代表的ですが、これでは別々に送付する意味がありません。また、仮にメールを盗聴されてしまっている場合はどちらのメールも受信できてしまう可能性が高く、セキュリティレベルが低いと言えるのではないでしょうか。

２． Zipの暗号化によりファイルに対するセキュリティ対策がされない
添付ファイルがZip暗号化されていることにより、中のファイルにはセキュリティチェックがかからず、受信BOXにウイルスが残ってしまうというリスクがあります。また、ZIPファイルを危険と判断している企業では、ZIPファイルの受信を弾く設定をしている事があり、このケースの場合ではコミュニケーションロスになってしまいます。

３． パスワードクラックされる可能性がある
システム的に複雑なパスワードをかけているのではあればまだしも、「会社名＋日付」といった簡易的なパスワードを設定しているケースは意外と多いですよね。いずれにしろ、パスワード解析ソフト等で突破されるリスクがあります。

輸送や技術の進歩により世界は狭くなりました。私は海外と仕事を日常的にしていますが、今日では東京で朝食をとり、飛行機に飛び乗ってフロリダ本社で午後からミーティングをし、クライアントと夕食を取ることも可能です。コミュニケーションも場所を選ばず誰とでも瞬時に行えるようになりました。しかし、このような進歩によって最も大きな影響を受けるのはビジネスの世界です。ほとんどの企業がグローバル化できるようになりましたが、企業組織はこのグローバル化を進めるにあたり、それに伴う現実と課題を認識することが求められています。

時間と距離の壁をのり超える

まず第1の現実として、企業は新たな市場に対して、以前よりはるかに効率的且つ、迅速にアクセスできるようになりました。大半の企業はその規模にかかわらず時間と距離の壁を超えることで潜在的な顧客基盤を大きく拡大しています。実際に中小企業の58％がすでに海外に顧客を有していると回答しています。しかし海外市場への拡大には課題も伴います。顧客が企業と同じ地域に限られている場合は、会話や協業が比較的容易であり顧客との契約変更、パートナー企業との機密保持契約締結、あるいはベンダーへの発注などは、それぞれのオフィスに立ち寄るだけで完了します。しかし顧客、パートナー、あるいはベンダーが遠く離れた場所に存在する場合は、それほど簡単ではなくなってしまいます。

最高の人材を獲得、維持する

シトリックスのコンテンツコラボレーションはご存知でしょうか。コンテンツコラボレーションを使用することによってシンプルかつセキュリティの確保されたファイル共有が可能となり、FTPサイト、USBメモリ、CDなどが不要になります。また、Office 365との統合によって円滑なドキュメントの共同作成も可能です。ワークフローを使えばエンドユーザーが社内と社外を問わず相手からフィードバックと承認を得ることもでき、e-メールによるやり取りも不要となります。このようなドキュメントコラボレーションのためのツールを組み合わせて活用することで、相手が誰であろうとも、どこにいようとも、実際に会って話すような容易なものにすることができます。

コンテンツコラボレーションは次のような場面でも活用できます。例えば、人事部は統合された電子署名機能を活用することで、署名されたオファーレターの取得プロセスをデジタル化することができます。署名されたオファーレターを受け取るとその後の作業は自動化されたワークフローが担い、新規採用者が記入すべき書類や各種案内なども自動的に送信されます。コンテンツコラボレーションによって、企業はリモートワーカーとして採用した人材を歓迎し、またパーソナライズしたかたちで研修提供することができるのです。

データの保護と規制への遵守

第3の現実として、グローバル進出する企業は、各国の規制やコンプライアンス要件が母国のものとは異なることを認識しなければなりません。これらの規制に従わなかった場合には大きなリスクが生じます。たとえばEU一般データ保護規則（GDPR）に基づく罰金は企業の売上高の最高4％または2,000万ユーロに達することがあり、これは企業にとって大きな損害となりえます。しかし課題は機会であるという側面もあります。多くの企業はGDPRへのコンプライアンスを自社のデータ保持と所在関連のポリシーを精査するだけでなく、プロセスを最適化し、セキュリティ全体を強化する機会だと考えています。

コンテンツコラボレーションを活用すれば、データは移動中も保存中にも暗号化されます。送信者は、意図した受信者が安全にファイルを受け取れるよう、また不正な配布を防ぐためにInformation Rights Management機能を使って権利を守ることができます。またIT部門はデータ損失防止システムを統合することでGDPRへのコンプライアンスに貢献できます。またコラボレーションの入り口となるコントロールプレーンが米国とEU内に存在しても、データはクラウド、またはオンプレミスで保存できるため、データ主権に関する要件も満たすことが可能です。
